Appointments, Cancellations, Payments and Fees

Appointments

We understand that your time is valuable. An appointment is an agreement between you and our office. Making an appointment reserves the dentist, staff and office time for you. When scheduling appointments, we make every effort to accommodate you and you can expect to be seen promptly at your appointment time. In order to maintain this level of efficiency for all our patients, we request that you arrive at our office on time the day of your appointment.

Sometimes patients do require additional, unexpected treatment and so our schedule does change to accommodate their care. We regret that this causes any inconvenience to other patients, but in the event this does occur we will never reduce a waiting patient’s treatment time; every patients’ needs are always addressed.

Due to the ever increasing demands for our services, we ask that if you must reschedule an appointment please provide us with at least 48 hours notice, so that we can adjust our schedule accordingly and minimize the impact the cancellation will have on our staff and other patients.

Our fees focus on value. When it comes to healthcare, you actually do get what you pay for.

Emergencies happen and unexpected events do sometimes require last minute scheduling changes, but we appreciate all efforts to notify us if you must miss an appointment. We regret that we must apply a $50 charge for failed appearances or cancellations with less than 24 hours notice.

Our fees focus on value. When it comes to healthcare, you actually do get what you pay for. It is perhaps the best example of how investing in value, rather than focusing on costs or “the best deal,” can benefit you.

Payment, or your insurance co-pay, is required at the time of service. We may ask for a deposit in advance to reserve the dentist's time in the event of a particularly lengthy treatment. As a courtesy, we file your insurance claims at no charge to you. For your convenience we accept cash, debit, Visa, Master Card, Discover, American Express and Care Credit.

Remember, even if you have dental insurance, you are ultimately responsible for making sure the bill is paid. If it is unpaid, we may ask a collection agency to manage the delinquent account, in which case you will be responsible for all costs of collection.

Insurance

We accept a number of dental insurance plans. But our goal is to provide you the best dental care possible and we will not compromise that care because of limitations in your dental insurance plan. We refuse to be influenced by companies that base their standards of care on the average treatments, technologies and materials that save them the most money with each reimbursement.

Remember that dental insurance is a contract between your employer and a dental insurance company, not your dental office. The benefits you receive under that insurance are based on the terms of that contract. Dental insurance policies cover specific services, based on the cost your employer pays for the policy. Dental insurance companies rarely cover 100 percent of any dental fee, and in many cases, cover only 50 percent. The amount that you receive from your insurance company depends solely on the terms of your employer’s contract with them.

Unfortunately, your dental insurance may not cover some of the services that you may need or want. For example, dental insurance companies typically do not cover any cosmetic or implant dentistry, although these can be important dental services that greatly enhance the quality of life for our patients.

These policies also carry annual maximum dollar amounts. Once the annual limit is reached, your insurance will cover no other services no matter how essential they may be to your oral health. These limitations and restrictions will almost always mean that your oral health will require your personal investment.

We recognize that dental insurance can be difficult to understand. Our office will work closely with you to help you make the most of your dental insurance benefits. But because it is impossible for us to know the details of every patient’s insurance coverage and because dental insurance plans change frequently, we encourage you to familiarize yourself with your plan, and notify us of any changes prior to receiving treatment.

If we proceed with your necessary treatment because you assume it is covered, and then after claim submission you find out that your plan has changed and payment is denied, you will be disappointed – and responsible for the full cost of treatment.
